How Do I Set Up A Project?

In this section, we’ll guide you through the process of creating projects on Ayda. There are two kinds of projects you can create: Actual and Forecast.
What is an Actual project?
The Actual project option is ideal for situations where you already have all the necessary information about your participants and are ready to upload it to Ayda. This type of project is typically used when you want to pay participants for a study that has already taken place.
With an Actual project, you don't need to set a total incentive value when setting up the project. Instead, you can simply assign all your participants, activate the project, and make payments.
How do I create an Actual project?

Log In: Log in to Ayda.

Create a new project: From your dashboard, navigate to the Projects tab and click the Create New Project button.

Fill in the required project information: including the title, reference (PO number) and any other relevant information.
- Select Actual project type: In the project creation process, select the Actual project type and click Create Project.
Now your project is created! Its status will be set to Pending until it's activated.
For Actual projects, it is important to assign all your participants before activating, as it is not possible to assign new participants once the project is active. Learn more about assigning participants
After assigning participants, activate the project. And that's it - you've successfully created an Actual project on Ayda! The next step will be making the payment. Learn more about making incentive payments
Expert tip for setting up an Actual project
Toggle-off invitation
When you only intend to compensate participants and don’t need them to confirm attendance (typically the case when the research has already been conducted), we recommend toggling off the invitation feature when activating the project.
The invitation is an email sent to participants asking them to confirm their attendance, which would be confusing if they’ve already taken part in the research.
What is a Forecast project?
A Forecast project is distinct from an Actual project in two significant ways:

Total incentive value: In a Forecast project, you are required to select a total incentive value when setting up the project. This means that your project will be locked to that specified amount, and you can’t make payments exceeding this chosen limit.
- Adding participants: Another unique feature of a Forecast project is that even after activating the project, you can continue to add participants if you have not reached the total incentive value selected.
How do I create a forecast project?

Create a new project: From your dashboard, navigate to the Projects tab and click the Create New Project button.

Select the Forecast project type: In the project creation process, select the Forecast project type.
- Set total incentive value: Specify the total incentive value for your project. Remember that this amount will be locked in, so ensure it accurately reflects your budget.
Now your project is created! Its status will be set to Pending until it's activated.
The biggest difference between Actual and Forecast projects is that for a Forecast project, you don't need all the participant information initially - you can add it later.
